WordCamp Brighton is over for another year and we’ve crunched various numbers… including the final budget 🌞
We thought you might be interested in a rundown of these. So let’s start with the people who made it all happen:
- 18 speakers
- 8 organisers
- 14 volunteers
- 24 sponsors
- 195 WCBTN attendees
- 35 Contribution Day attendees
We mixed things up with a few different session formats this year. We’ll be interested in hearing your feedback about what you think worked, what didn’t, and how we can make these different formats work better next time…
- 15 Talks
- 3 Workshops
- 8 Tribe Meetups
- 1 * unofficial * Friday evening gathering
- 1 After Party on Saturday
We wanted to minimise our impact on the environment, so put a few things in place to reduce the amount of waste. These included:
- 200 reusable cups
- 200 reusable water bottles
- 550 biodegradable containers
Early reports are there weren’t too many misplaced bottles and cups 😉
The budget
You might have read the previous post I wrote, when we were a bit concerned about how the budget would play out.
Since then, we raised some more money from sponsorships, taking us to a more comfortable place.
Of course, it wouldn’t be a WordCamp without some last minute budgetary surprises, and a few sleepless nights…
But in the end, we did manage to scrape in with a surplus of £23.43 🎉
Here’s a breakdown of the money coming in and the money going out:
Incomings:
£5,000 | Global sponsors |
£11,000 | Local sponsors |
£700 | Micro sponsors |
£4,500 | Tickets |
£21,200.00 | Total |
Outgoings:
£12,000 | Conference venue (incl. water, coffee, tea, wifi) |
£1,020 | After party venue |
£4,765 | Catering (lunch x 400, dinner x 150, staff, biodegradable containers) |
£1,327.09 | Reusable cups |
£701 | Reusable water bottles |
£206 | Contribution day food |
£799.60 | Volunteers dinner for 50 |
£28 | Stationery |
£156 | PayPal fees |
£12.88 | ‘No Photo’ stickers |
£57.12 | Lanyards |
£35.79 | Badges |
£3.99 | Batteries |
£64.10 | Sanitary items |
£21,176.57 | Total |
Total outgoings ( £21,176.57) divided by the number of attendees (195) = £108.60
Thus making the real price of a ticket £108.60…well kind of.
This price also excludes the extras not included in the budget, such as:
- Contribution day venue
- Sponsor swag
- Lots of people’s time ❤️
So…what happens to that leftover £23.43?
WordCamps are non-profit events.
Sponsorship money and ticket sales for all WordCamps is paid directly to WordPress Community Support PBC. This is a subsidiary of a charitable organisation called the WordPress Foundation.
When we need to make any purchases, such as hiring a venue or buying stationery, we submit a vendor invoice via /wp-admin on this very WordCamp website. The invoice is then paid by WordPress Community Support.
The ideal scenario is that we raise enough money from ticket sales and sponsorships to cover the entire cost of the WordCamp.
If there’s any budget surplus left over, it’s retained by the foundation and goes towards helping fund WordCamps and other WordPress events.
So in summary, that £23.43 is in safe hands 🌞
